Where should I raise the travel request?
Does Travel Request Require Approval Before Starting the Trip? If Yes, Who Will Approve Travel Requests?

Yes, Travel Request must be approved before starting any business trip. approval by your Reporting Manager. Your trip request will be notified after the approver has approved or rejected it.

Who Will Assist Me In Bookings For Travel?

Travel Desk will assist you to book tickets, accommodation arrangements, etc. The details of travel desk link below :

How far in advance should I make my travel request?

The earliest you can submit a travel request is if your schedule is confirmed.

What are the process handled by travel desk?

Surface transportation, flights, visa processing, accommodations, travel insurance, forex, and international SIM cards for official visits are all available.

What are the working hours of the travel desk?

The travel desk will be available from 9.30 a.m. until 2 a.m., Monday through Friday. Saturday: 9.30 a.m. to 6 p.m. Only essential travel requests received within 48 hours of Sunday will be handled. 

What is the process for visa application and documentation?

That will vary by country; please contact our visa-desk team for specific country requirements.

What travel documents do I need for international travel?

Passport must be valid for at least 6 months and contain at least 2 blank pages, as well as a valid visa.If any old passports are required to be carried. 

Can I request a specific airline or hotel for my travel arrangements?

Yes, if the budget allows, the travel team will book.

Are there any restrictions on the class of travel or hotel category?

Yes, check the travel policies.

What are the luggage allowance and restrictions for flights?

Kindly check your ticket copies or the airline's website for information about your luggage.

What is the procedure for cancelling or modifying a travel booking?

In the same way, Change or cancel the Zoho Expense.

How can I get assistance in case of flight delays or cancellations?

Yes, kindly contact our travel desk or the relevant airlines.

While official travel allows my family to accompany me?

Yes, all expenses are borne by the individual. 

Can I spend a few days on personal travel while on official travel?

Kindly consult with your Reporting Manager and HR Team. If your personal days were authorised. All expenditures are borne by the person. 

Can I book personal travel through the travel desk?

The Implant team will not assist with personal bookings; instead, we will provide contact information for other agents, and you will call and book with them.

Do I need travel insurance?

Yes, for international travel, you must have travel insurance that covers the duration of your trip. Insurance copies will be provided by the travel team along with the tickets.

Do I get a travel advance?

There is no travel advance for domestic travel. International travel can provide specific currencies for official use and per diem.

Can I carry liquids in my carry-on luggage?

There are specific rules and restrictions that you should be aware of when carrying liquids in your carry-on luggage. Check the airline guidelines.

Is it safe to travel to a specific destination?

It is usually advisable to check out counterpart sources, like as official travel advisories, for the most up-to-date and accurate information on travel safety.

How should I claim expenses during Domestic travel?

Do I use my personal Vehicle for Customer visit?

Yes, you may utilise and claim the actual amount by producing a bill copy and toll statements. For Hub office visit refer the Policy.

What is the daily allowance for trips?

How to submit balance cash and bills for international travel?

The bill must be uploaded to Zoho Expenses, and the remaining funds must be given to our tour-report Team.

How to submit One time International travel allowance?

Under expenses -Report  - New Policy- international travel kit options- submit against the trip 

Where do I upload my travel documents such as Visa or Passport?

Go to My Settings in expense on the left sidebar. Navigate to the Travel Documents tab and click + Add Travel Document

Is there any preferred time to collect the forex

Yes, Between 11 Am to 2 Pm and 3 Pm to 6Pm.

Where to get the travel Kit and Other?

Check with the events or the procurement staff for Attire. Apart from that, you will receive a travel adapter and a medical kit from us when you collect the currency.

Is there someone help to assist with the visa form filling?

We have form filling videos and sample forms that you can refer to, and if you need assistance, we will guide you.

What do I do if my luggage goes missing or is damaged?

Report this directly to the airline & Inform to travel desk to check with insurance team.

Whom should I reach to get the corporate uber tie up?

You can drop email to hoteldesk@zohocorp.com, we will share the invite to your zoho mail and then you can activate

What do I do if my flight is delayed or cancelled by the airline?

In case if you are in airport you can check with the airport counter & get the modification from their side because the airline is the full responsible for the delay & last minute cancellation

What do I do if I missed my flight due to traffic?

Please notify the travel desk as soon as possible if you are delayed by traffic or a meeting.

Is there any specified check-in time limit for the hotel?

Yes, it will differ based on countries. Incase if you are planning to do late check in Kindly inform the hotel priorly to avoid the no show

Is there any separate policy for hub office travel?

Yes, if you visiting to Hub office should raise the travel requests under hub office Policy. refer the travel policies.

Is anyone available to assist at VFS (Visa processing) Chennai

Yes we have one specified person to assist the employees in VFS Chennai centre alone

Who will arrange the airport pick up & Drop in Chennai?

what are all the documents I should keep for travel?

You can refer to the Travel guide provided along with Travel kit.

How to share the event location to check for hotel options

You can update the info in description while raising the request or after submitting the request.

Where to inform if two or more of the employees are traveling together need to arrange the same bookings.

If it's a hub office or a campus recruiting, you may include it under other travellers. You can include this in the descriptions if the customer visits India or another countries traveling.

Whom should I reach to get guest house in Chennai accommodation?
You can raise the travel request, If guest house available you will be accommodate in that otherwise will arrange the nearby location hotels.
For Chennai stay can I make self booking

Yes You can make the booking and claim the amount of INR 2000 per room per night for single occupancy reimbursement 

What I do if I missed my guest house key ?

Do inform the hotel desk team & drop the email to arrange the alternate
